Privacy Policy

1. Scope and the ChatGPT app

This policy explains how Farmbit handles information from our website, field workspace, satellite services, support channels, billing, and the Farmbit app available in ChatGPT.

When you ask ChatGPT to use Farmbit, Farmbit receives the tool arguments ChatGPT sends to us and returns the requested Farmbit result to ChatGPT. We do not receive unrelated parts of your ChatGPT conversation unless they are included in a tool argument. OpenAI and ChatGPT handle your conversation under their own policies.

2. Information we collect

We collect or generate the following information when it is needed for a Farmbit service:

• Account and contact information, such as name, email address, phone number, organization, authentication/session information, and billing details handled by Stripe.
• Field and service information, such as farm or orchard names, addresses or location searches, selected location candidates, coordinates, field boundaries, block labels, crop details, uploaded capture data, and support requests.
• Satellite and monitoring information, such as observations, baselines, scene-quality information, derived indices, Farmbit decisions, and field-check prompts.
• For ChatGPT tool calls: the location query, candidate id, coordinates or boundary you choose for a free check; or, after you link an account, the field id, requested lookback period, and requested indices. We return location candidates, preview eligibility and scouting guidance, or bounded field evidence. We do not return raw database columns, signed asset URLs, payment identifiers, or raw imagery through the ChatGPT app.
• Connection and security information for linked ChatGPT accounts, including OAuth client and scope information, authorization state, and hashed access or refresh token records.

3. How we use information

We use information to provide and secure Farmbit, resolve locations, prepare free checks, maintain fields and monitoring, produce the results you request, provide support, process payments, prevent abuse, comply with law, and improve the reliability of our services.

Farmbit does not use ChatGPT tool arguments or tool results to train a model. We may use de-identified and aggregated operational or capture data to improve Farmbit's internal analytical processes.

4. Recipients and sharing

We do not sell personal or farm data. We share information only as necessary to provide the service, with your direction, or when required by law.

• OpenAI/ChatGPT receives Farmbit tool results when you invoke Farmbit in ChatGPT. ChatGPT sends Farmbit the tool arguments needed for the request.
• Cloudflare provides hosting, edge security, databases, and object storage for Farmbit.
• Stripe processes payments; Farmbit does not receive or store full payment-card numbers.
• Location, map, parcel, and satellite-data providers receive the location query, coordinates, or boundary necessary for the requested lookup or analysis. Depending on the location and configured service, these may include public government data services, Google, Mapbox, or Photon/Komoot.
• Email, phone, analytics, professional-service, and infrastructure providers may receive the minimum information needed to deliver the related service.

5. Retention

We retain account, field, free-check, monitoring, uploaded-capture, and service records while an account or service relationship is active and afterwards only as needed for support, security, dispute resolution, legal obligations, or a deletion request. We do not currently apply a separate fixed automatic deletion period to active field and service records.

For the ChatGPT connection, OAuth authorization requests and authorization codes expire after 10 minutes, access tokens expire after 1 hour, and refresh tokens expire after 90 days. Expired or revoked OAuth records are removed by scheduled cleanup. ChatGPT may retain the conversation that contains a Farmbit result under OpenAI's policies; Farmbit does not control that retention.

6. Your choices and controls

You choose whether to link a Farmbit account to ChatGPT and which Farmbit data to request. You can remove the Farmbit connection in ChatGPT and contact us to revoke access, request access to or correction of your information, or request deletion. We may need to keep limited information when law, security, or an unresolved dispute requires it.

Please do not include payment-card numbers, government identifiers, medical information, or other sensitive personal information in Farmbit tool inputs or support messages unless we specifically ask for it through a secure channel.

7. Security and international processing

We use access controls, short-lived signed links, OAuth scopes, encrypted transport, and restricted infrastructure access designed to protect Farmbit data. No service can guarantee absolute security.

Farmbit and its service providers may process information in countries other than where you live. Where required, we use appropriate safeguards for those transfers.
